HOW TO BOOK A PACKAGE TOUR

If you wish to book a trip with Passionate Travel, you need to confirm your agreement to the Travel Consultant in charge of your file.

Our team will proceed to the reservation of all the services provided as per agreed program and reserve the right to offer equivalent replacement solutions in the event of the unavailability of one or more planned services (accommodation, domestic flights, train, etc.).

Once all reservations are made, the final travel plan will be sent to you, at that time you are required to make a deposit payment which is 30% of the total trip cost and non-refundable.  In 7 – 15 working days you are also required to send us your passport details for flight booking and other registration.

 

PASSPORTS & VISAS

It is the guest’s sole responsibility to obtain and have available when necessary the appropriate valid travel documents. All guests are advised to check with the appropriate government authority to determine the necessary documents required for their travel. Passports must be valid for six (6) months after completion of your journey and should also have sufficient blank visa pages for entry and exit stamps. Citizens of other countries should contact the appropriate consular office for entry requirements pertaining to their journey. You may be refused boarding or disembarked from a plane, vessel or train without liability for refund, payment, compensation, or credit of any kind if you do not have proper documentation, and you will be subject to any fine or other costs incurred by Passionate Travel which result from improper documentation or noncompliance with applicable regulations. Passionate Travel shall not be responsible should any guest be denied entry to a country due to noncompliance with these requirements.

 

TRAVEL INSURANCE

Travel insurance is not included in the tour price. Travelers are advised to purchase a personal medical and/or travel insurance for travels to our regions, ideally including loss of baggage and personal items, medical evacuation coverage if needed.

 

PAYMENT CONDITIONS

Payment Conditions

  • Upon booking: 30% non-refundable deposit
  • 30 days prior to arrival: Balance payment

 

Payment Methods

Payments can be made by credit card or bank transfer.  There will be a 3% processing fee on the total amount paid by credit card. All bank charges relating to transfers to Passionate Travel must be paid by senders, we expect to receive the full amount as per invoice.

 

Cancellation Policy

A cancellation must be made in writing and acknowledged by our Travel Consultant.

The following fees will be applied:

  • After payment of deposit: 30% of total tour price (Deposit)
  • Between 30 and 21 days prior to arrival date: 50% of total tour price
  • Between 20 and 8 days prior to arrival date: 75% of total tour price
  • Between 7 days and arrival departure or No Show: 100% of total tour price

Special policy or cancellation conditions may be applied during peak season (Christmas, New Year…)

 

PERSONAL DATA PROTECTION

To plan and operate travel services on your behalf, we might collect the following information:

  • Your name, gender, age
  • Contact information including email address, phone number
  • Demographic information such as zip code, preferences and interests
  • Other information relevant to customer surveys and/or offers

This personal information will be securely stored and won’t be passed to a third party.

 

LIABILITY

Passionate Travel is not responsible for any personal injuries, death, property damage,  negligence of any third party suppliers, or other damages or expenses resulting therefrom.

Passionate Travel  is not liable in the event of any delay or default in your booked tour package and any loss or damage caused by unforeseeable conditions including, but not limited to, natural disasters, epidemics/pandemics, adverse weather conditions, fire, government restrictions, war, insurrections, riots, strikes, terrorist activity and/or any other cause beyond and takes no responsibility for any additional expense, omissions, delays or re-routing. However should this occur, Passionate Travel will ensure our best possible service to solve such a situation as it arises.

 

RESPONSIBILITY AND DISCLAIMERS

  • Passionate Travel is an independent destination management company. We do not assume any liability whatsoever for any injury, damage, death, loss, accident or delay due to the act by any third parties or rendering any of the services included in the tour.
  • Passionate Travel will not take any responsibility for any injury, damage, death, loss, accident or delay caused by natural disasters or terrorism, threat of wars, civil strife, industrial disputes…
  • Passionate Travel will take no responsibility for any omission, delay, re-touring, additional expenses, or other resulting from improper health, necessary documents to enter or depart a country, or acts by any government authority.
  • Passionate Travel reserves the right to dismiss your reservation if it is brought to our attention that you might pose a threat to public safety and/or security in Vietnam.
  • Passionate Travel reserves the right to modify these Terms & Conditions at any time. We do not hold responsible for any errors in the publications. The traveler’s continued use of this service will be conditioned upon the Terms & Conditions in force at the time of use.

 

COVID-19 VACCINATION REQUIREMENT

All guests must be fully vaccinated for COVID-19 and present proof of vaccination during travel on Small Group Journeys and Luxury Expedition Cruises. A&K accepts approved vaccines per the World Health Organization list. Guests must also comply with all vaccination requirements for country entry and any local regulations, which are subject to change. A&K reserves the right to change, modify or amend the A&K COVID-19 Vaccination Requirement for future bookings at any time and without prior notice.
